Niwa fits a service business that wants an intelligent agent to use its WordPress website context, answer questions and book directly through WhatsApp or website conversations. It also supports connected sales and owner tasks. Acuity Scheduling offers dedicated scheduling with intake forms, payment options and service-specific features, including an AI Booking Assistant. Compare the work each system will handle for your business.

For a coach, tutor or studio owner, the appointment is only part of the experience. A prospective client needs to understand the service. The business may need information before the session and payment during booking. Decide which of those jobs matters before choosing the software that will handle it.

Acuity's appointment and intake workflow

Acuity's current plans include client self-scheduling, custom forms and supported payment-provider connections. The plan changes the calendar allowance and access to features such as packages and its AI assistant. Check those requirements against the sessions you actually sell.

Its Booking Assistant documentation explains a conversational service-selection route. Clients choose a service, available time and appointment details, then continue to checkout for contact information, configured forms and payment details. The assistant is available on Premium or the legacy Powerhouse plan. It responds in English or Spanish and has limits around classes and purchasing packages.

Those details are useful when reviewing a demonstration. Ask to see the whole route through checkout, not only the service suggestion. If your appointment needs an intake question or deposit, establish where the client supplies it and where the team sees it afterward.

Niwa connects the service page to the appointment

Niwa works with the business information on your WordPress site. A client can ask whether an introductory coaching session is appropriate before committing to a regular session. The assistant explains the published scope and can carry the enquiry through to booking.

On WhatsApp, Niwa can answer the service question, offer available times, collect the booking details and record the appointment directly through the conversation. Clients can also book through conversations on your website. The Niwa booking agent connects those actions to your configured services and schedule.

The business supplies services, durations and team availability. A complicated request may still need a person, especially when the correct service depends on an individual assessment. The assistant should explain what is known and route the decision to the appropriate team member instead of making up an eligibility rule.

Plans and Niwa's website services

On October 9, 2026, Acuity's USD pricing listed Starter, Standard and Premium at $20, $34 and $61 per month when billed monthly. The annual-billed monthly equivalents were $16, $27 and $49. The listed calendar allowances were one, six and 36 respectively. Applicable taxes are extra. Use the current pricing page to verify the offer for your account.

Niwa Business is USD 150 for a custom WordPress website or migration, hosting, maintenance and AI adaptation.

You can also install Niwa's standalone plugin on an existing WordPress site. Your own supported AI subscription connection has no additional Niwa AI usage charges or Niwa-imposed usage caps on that connection; your provider's terms and limits still apply. That is separate from any payment or messaging services your business uses.

The owner task that separates the two choices

Suppose your coaching business changes an initial appointment from a broad introductory call into a session with a specific preparation task. The scheduling configuration needs to match the new duration. The service page also needs to explain who the appointment is for and what to bring.

Niwa can help update that WordPress content. The owner then checks the page and asks the customer assistant the same questions a client would ask. This ongoing work is the difference between a site built using AI during development and a site powered by AI in daily operation.

Acuity offers dedicated appointment, form and checkout tools. Niwa handles service explanations, direct conversational booking and WordPress operations. Compare package, intake and payment requirements separately for the services you sell.

Using Niwa with an existing Acuity scheduler

Keeping Acuity is an option. Niwa can answer service questions and point the client to your existing Acuity scheduler. The booking made there remains in Acuity. If you instead choose Niwa's appointment system, decide which schedule the team will use before making that route available.

There is no native two-way Niwa-to-Acuity synchronization being promised here. Sharing a booking link is a clear handoff, not evidence that two appointment databases are synchronized. The Niwa setup guide is the place to review the supported WordPress installation and business configuration.

Test the service you sell most often

Use one representative appointment with its real duration and preparation requirements. Ask a service question, choose time, complete the configured booking steps and locate the appointment in the staff calendar. Check the information needed to deliver the session as well as what the customer receives.

Then review a change or exception with the person who handles the diary. Your decision should preserve the parts of the current workflow that work while improving a specific weak point. Discuss Niwa for your business with your website, calendar count, intake requirements and current scheduler. Those details make it possible to compare complete setups rather than isolated features.
