Let customers reschedule appointments online by giving them secure access to their existing booking and a supported way to change its time. Niwa can offer an eligible customer an earlier appointment when a same-day cancellation creates a suitable opening. The customer accepts that specific offer in a private conversation, and Niwa moves the existing reservation after checking availability.

If you want customers to choose any replacement time themselves, configure that feature in the booking product that provides it. Acuity is one example, with appointment-management links and change deadlines. Keep the two workflows clear when deciding what customers can do.

Decide which changes customers should make

Write down the service, provider and timing rules a replacement appointment must respect. An hour-long consultation still needs an uninterrupted eligible hour, even when the customer is moving an existing visit.

Decide how late a customer may request a change and who handles exceptions. A business might allow self-service changes until 24 hours before a visit. That is an illustrative policy, not a Niwa setting or a deadline that suits every service. Explain any effect on deposits or other agreed terms.

Distinguish moving a reservation from cancelling it. Someone accepting an earlier appointment still intends to attend. Their service and relevant details should remain attached to the booking throughout the change.

Use Niwa's earlier-time offers

Niwa's customer relationship workflow can help fill an opening left by a same-day cancellation. With the booking workflow and WhatsApp connected, it can offer the opening to an eligible customer who already has a later appointment for the same service and provider.

Configure the offer rules for your business. These include how far ahead to look for an existing appointment, the acceptable difference in time of day, minimum notice before the opening and how long an offer remains available. Eligibility is based on the configured schedule and existing reservations.

The customer receives a specific earlier-time offer on WhatsApp. Accepting it authorizes the move; declining or letting it expire leaves the original appointment reserved. Customers do not need to create a second booking to accept that offer.

Niwa checks the opening again before completing the move. It preserves the existing appointment until the change succeeds, records the new time and retains the rescheduling history. The Niwa booking overview explains the services and staff availability behind this workflow.

Give access to the right appointment

Appointment changes belong in a private customer conversation. Niwa uses the customer's matched channel identity or verified browser session to limit access to that person's appointments. Where the business supplies a private customer link, use it to establish the appointment-management connection.

Treat that link as private. A customer knowing another person's name or email address should not gain access to their booking. An unmatched identity needs the appropriate verification before an appointment can be changed.

Niwa can list the customer's appointments and current offers so the requested action refers to the right visit. A request to cancel an upcoming reservation needs the customer's clear instruction. The system checks that the appointment still matches the record being changed.

Niwa uses your website's business context to explain service and policy questions directly in WhatsApp. It can perform supported appointment actions in that conversation; an explanation alone does not establish that a change has been saved.

Configure wider self-service changes in Acuity

If the business uses Acuity and wants customers to choose a different replacement time, enable its rescheduling controls. Its scheduling limits guide explains the global and calendar-specific settings.

Open Availability and Global Scheduling Limits. In the General tab, enable Reschedule Appointments, set the required notice and save. Check calendar-specific limits too, because those can override global settings. For a relevant calendar or group, use Edit Availability/Limits to review its change deadline.

Use the appointment's managed confirmation link. Acuity's confirmation-page guide describes customer options and the manual route through the appointment's gear menu and Client's confirmation page.

A general booking-page link starts another reservation. Check the destination before labeling it as a change link, and place the deadline and staff contact route beside the action.

Check the saved change and connected calendar

Review the new service, provider, date, time and timezone after a successful move. The replacement must fit the duration, working hours, breaks and turnaround period. Staff should see one current appointment with an understandable change history.

Niwa processes connected calendar synchronization separately from the local reservation change. Check the saved appointment first, then the external calendar. A delayed calendar event is a reason to inspect synchronization, rather than ask the customer to reserve the time again.

Niwa also supports timed reminders through connected email or WhatsApp workflows. Review their timing and customer details alongside the changed appointment so the message refers to the current reservation. The Niwa setup guide provides the installation and connection foundation.

Test acceptance and a change that cannot complete

Use a controlled earlier-time offer to check acceptance, the updated reservation and the released original time. Then check a declined or expired offer: the original booking should remain reserved.

For a booking platform that allows other self-service times, test one permitted change and one inside its change deadline. Verify the outcome shown to the customer and give a staff route for requests the configured process cannot handle.

Review your appointment-change workflow with Niwa. Bring your current booking tool, customer confirmation and change policy so the setup can support the actions your customers need.
