How Much Does an AI Booking System Cost?
Compare the components of an AI booking budget and current pricing examples without confusing booking software, AI usage and website implementation.
An AI booking system can involve a booking subscription, AI usage, website setup and ongoing maintenance. The cost depends on which of those components you need. A basic scheduling page may be available on a free plan, while conversational booking and a configured business website can add separate charges.
Niwa Business is USD 150 and includes a custom WordPress website or migration, hosting, maintenance and AI adaptation. Existing WordPress owners can instead use the standalone Niwa plugin. Compare the scope and payment terms of the option that fits your site.
Separate the booking tool from the AI feature
A booking product may charge for its calendar and forms even if you never use AI. Conversely, a paid booking plan does not necessarily include every conversational feature.
On 9 October 2026, SimplyBook.me's pricing page displayed a free plan with 50 bookings and one provider. Basic was shown at $13.90 per month when billed monthly, or $11.90 per month when billed annually, with 100 bookings and five providers.
The same page listed AI Voice Booking credit packs separately, at $8 for 100 credits. That is a credit allowance, not a claim that 100 credits equals 100 completed appointments. Check the usage rules for the actual feature and the amount needed for representative conversations.
These are the dollar prices displayed on the retrieved page. Confirm your checkout currency, current terms and any applicable taxes before buying. Pricing can change after this check.
Count staff seats and the required plan
Some products price access per staff seat; others use booking volume, provider allowances or feature limits. Compare your actual team against the relevant unit.
Calendly's retrieved pricing page showed Standard at $10 per seat per month in the yearly billing view. Three seats at that displayed rate would represent $360 for 12 months, before any other applicable costs. This is arithmetic for an illustrative team, not a quote for your business.
Check which people need a seat and which features the plan includes. A customer receiving a meeting link is different from an employee who owns a calendar connection.
Also check whether the intended AI feature is included, sold separately or supported on the plan being discussed. A low scheduling price does not establish the total price of the customer journey you want.
Include implementation and website work
An existing functioning WordPress site may need plugin installation, service configuration and changes to the booking page. A business without a suitable site may need a larger website build or migration as well.
Write the implementation scope before comparing prices. Include the service catalogue, staff schedule, booking destination, approved assistant information and the tests needed before customers use it.
Niwa Business includes a custom WordPress site or migration, hosting, maintenance and AI adaptation for USD 150. Discuss the service configuration and payment terms for your setup. Compare the stated website, hosting, maintenance and AI work alongside the software costs in other quotes.
The standalone plugin route lets an existing WordPress owner keep the current website. The Niwa setup guide provides the installation foundation.
Understand how the AI connection is billed
With a supported connection to your own AI subscription, Niwa adds no extra AI usage charges or Niwa-imposed usage caps. Your provider's terms and limits still apply, and the actual subscription and connection must be supported.
An API connection is a different billing route. The AI provider bills API usage separately according to that account's terms. Do not assume that paying for a chat subscription also pays for API calls.
For a realistic budget, identify the intended provider and connection, then test ordinary service questions and the booking journey. Track actual usage through the relevant account instead of estimating from an invented number of messages per appointment.
Niwa uses the website's business context to answer questions and complete booking and sales workflows directly in WhatsApp conversations. Identify any channel-related costs in the proposal alongside the chosen AI connection. Niwa's no-token-markup arrangement does not remove charges billed by the underlying provider.
Budget for operating the workflow
Someone needs to maintain hours, closures and service information. Include that work in the handover, whether your team performs it or it is part of an agreed service.
Calendar authorization, confirmation delivery and appointment changes should also have an owner. A reservation may be saved successfully even when an email or external sync needs attention.
The Niwa booking overview explains the native appointment flow. Use it to identify the work involved in your configuration, rather than budgeting only for a chat widget.
If you require payments, deposits or a specialist booking platform, list the relevant gateway or additional product costs separately. Include requirements in the scope before treating them as available features.
Ask for a budget you can compare
Provide the number of services, staff members and expected appointments, plus your existing website and calendar arrangement. State whether you need the website created or only the booking workflow added.
Ask for the setup scope, billing basis, included maintenance, AI connection and any usage-based charges. Keep those terms alongside the price so two materially different offers are not compared as identical subscriptions.
Discuss your booking budget with Niwa. Bring your current tools and one representative service so the conversation can establish the implementation you need and its actual payment terms.
