How to Automate Client Enquiries as a Freelancer
Design an enquiry workflow that explains your services, records the request and reaches you for a decision, with a fallback when any step fails.
Automate client enquiries by separating the first answer, collection of project details, notification and your final decision. Each stage needs a clear destination and a way to check that it happened. You can remove routine back-and-forth while keeping control over quotes, scope and which projects you accept.
Niwa uses your website's business information to answer service questions and gather project context on WordPress and WhatsApp. It can also complete consultation bookings directly in the conversation. Its configured website lead forms provide a structured brief for requests you want to review before quoting.
Map the enquiry you want to handle
Choose one recurring situation to begin with. For a copywriter, it might be someone asking whether you can rewrite an existing service page. Record the information usually missing from that first message: page link, intended audience, required work and deadline.
Decide what can be answered from your published offer and what requires your judgement. Whether proofreading is included may have a fixed answer. Whether a rushed rewrite is achievable depends on your workload and the state of the material.
Give the workflow a named owner, even if that is simply you. A message should not disappear into a general inbox that nobody checks. Choose a review routine you can keep, and publish a response expectation only when it reflects how you work.
Prepare an answer source that stays current
Write service descriptions, inclusions, exclusions, pricing rules and recurring questions in a place you maintain. The Niwa customer assistant uses the business information and enabled tools in its setup; it needs accurate material to give a useful answer.
Add instructions for missing details. If a visitor asks for a service you do not describe, the appropriate result is clarification or your contact route. The assistant should not invent a package to keep the conversation moving.
Treat price changes as a content update. Check the public page and assistant together so a visitor does not receive two different versions of the same offer.
Collect the initial request on the website
Configure the website intake with questions that affect your next decision. Usually that means the service, desired outcome, existing material, timing and contact details. Add a budget range where it helps determine whether a proposal is realistic.
Niwa can ask for project details within WhatsApp. If your review process uses a structured website form, offer it as the intake route and explain how it keeps the information together. Ask only for details still needed from the client.
Some freelancers already use an intake platform. HoneyBook's lead form documentation is one example of configurable questions and client actions. If that existing route works, point the conversation to it rather than maintaining two independent versions of the same questionnaire.
Verify storage and notification separately
Submit a realistic test request and find the saved answers. Check that the field labels still make sense when read later, and that a relevant project link has not been lost. This stored record is the basis for reviewing the request.
Then check the configured notification. Niwa's lead form setup can notify a configured recipient through WordPress mail, but the recipient and mail delivery must work on your installation. Receiving a test email is stronger evidence than seeing that a notification was attempted.
If partial submission is enabled, distinguish a captured contact address from a completed brief. Review which project details arrived before asking the client for the next step.
An acknowledgement should confirm receipt and explain your next step. Confirm a quote, accepted project or scheduled consultation when that action has actually completed.
Choose the next step after reviewing the request
You may need one clarifying answer, a custom proposal or a consultation. Keep those paths distinct. A question about a missing document does not need to become a call by default.
For a consultation, configure the service, duration and availability in Niwa booking. Niwa can show available times and complete the appointment directly in WhatsApp or in the website conversation. Check the saved booking and confirmation.
A saved appointment is different from an accepted freelance project. You still agree deliverables, price and commitments with the client. If you charge for advice, use a verified payment setup and check the transaction separately from the appointment record.
Test the failure paths before relying on the workflow
Try a missing email address, an unavailable time and a request outside your services. Check that the client can correct an input or contact you without getting stuck. Use test details rather than private client information.
Temporarily unavailable notifications should not erase an otherwise saved enquiry. Establish where you can review requests directly, and what you will tell clients if the form itself is unavailable. Keep a contact address visible alongside the assistant.
Also test two enquiries from the same person. A follow-up may belong to the existing request rather than a second project. Review any duplicate handling your connected system actually provides; do not assume that every tool deduplicates automatically.
Measure the work the automation actually completed
Record useful enquiries received, requests needing missing information, notification failures and time spent reviewing them. Compare similar periods and note changes in traffic or service demand. More chat messages alone do not establish that the workflow saved time.
If clients still ask the same opening question, improve the services page. If requests arrive complete but sit unanswered, the review routine needs attention. Automation can collect the work; you need a dependable way to take it forward.
Ask Niwa about your incoming enquiry workflow. Bring one common message, the details you need and the destination where you want to review them. Existing WordPress owners can use the standalone plugin without rebuilding their website.
