What Can a Clinic AI Assistant Answer?

A clinic AI assistant can explain approved hours, locations, fees, services and booking steps. See useful examples and when a patient needs staff.

A clinic AI assistant can answer questions about information the practice has approved for patients: opening hours, locations, published fees, offered services, booking steps and attendance instructions. It can explain those facts in a conversation and direct the patient to the appropriate next step.

Niwa uses your WordPress website's clinic information to answer questions and perform booking actions. Patients can reserve available appointments on the website or directly in a WhatsApp conversation. Patient-specific medical assessment and access to private records belong in the practice's authorised staff processes.

Opening hours and practical contact information

Useful questions include when reception answers the phone, which days a location is open and where to find the current contact details. Give the assistant distinct schedules when reception, visits and message review have different hours.

Holiday exceptions need a reviewed source. An old timetable should not become the answer simply because it remains on a page somewhere. A person asking about a specific date needs the clinic's published exception or the staff route for confirmation.

Niwa should explain the response hours the practice actually supports. An available website does not establish that a person is monitoring enquiries overnight.

Location, parking and access details

The assistant can explain a published address, entrance, parking arrangement and the access information the clinic provides. These answers are especially useful when a practice has several locations.

Use specific location pages and keep them current. A patient booking at the east clinic should receive directions for that clinic rather than the organisation's registered office.

If someone needs an adjustment that is not described in the public information, provide the appropriate staff contact. Do not invent facilities or promise that the building meets a patient's individual access needs.

Published services and appointment descriptions

Niwa can describe what the clinic says a named appointment includes, its format, location and published duration. It can explain an administrative distinction such as a first visit versus a follow-up when the practice has defined it clearly.

The assistant should not decide which treatment will help a person's symptoms. If selecting a service requires medical assessment, give the practice's approved human route.

Keep the descriptions consistent with the scheduler. A service page should not invite people to book an option that the clinic has excluded from public booking.

Public fees and the clinic's stated policies

An assistant can repeat a reviewed consultation fee and explain the published cancellation process. Record which services, locations and dates a price applies to.

A listed consultation fee does not answer every billing question. Individual insurance coverage, an account balance or an invoice correction may require staff and an authorised channel. Direct the patient there rather than calculating an answer from a general page.

When a fee is not published, say how the patient can obtain it. Avoid converting a missing source into an estimated charge presented as the clinic's price.

Booking steps and available next actions

Niwa can explain the clinic's appointment choices, show eligible availability and collect the contact details needed to arrange a visit. The connected booking workflow records the patient's selected service and time.

On WhatsApp, a patient can ask what a published first visit includes, choose one of the available times and book within the conversation. Niwa uses the same website context and clinic schedule rather than asking reception to reconstruct the enquiry later.

For an existing scheduler or a request form, describe that system's actual outcome. A request awaiting staff approval is not a confirmed appointment. A link also does not synchronise schedules or establish an EHR connection.

Attendance instructions approved by the clinic

The assistant can explain an approved instruction such as which entrance to use or which administrative documents the practice asks patients to bring. Keep that text associated with the correct service and location.

Preparation that affects treatment, medication or clinical care must come from the clinical team. Niwa should not fill a gap with a general online recommendation. If the published instruction is unclear for a particular patient, show the clinic's clinical-contact route.

This makes the assistant useful while keeping the source of individual medical decisions clear.

What should reach a person or an authorised system?

Clinical questions, requests for private results and account-specific changes need a suitable process. An unauthenticated chat should not disclose a patient's records merely because someone supplies a name or date.

The Niwa setup guide distinguishes public visitor assistance from private owner administration. Keep those permissions separate. Staff management tools are not capabilities to give to every patient using the public widget.

Provide a real contact route, its response hours and the practice's approved local directions for urgent help. Do not imply that displaying the route automatically delivers a message to staff.

Build a small clinic-specific answer set

Choose a handful of recurring administrative questions and link each to its reviewed source. For example, one location question, one fee question, one named-service explanation and one booking instruction can make a useful starting set.

Test an ordinary version of each question and one exception: a holiday, an unpublished price, an unclear service or a request for individual medical advice. Check the answer and follow its next step.

Use fictional information in setup tests. Avoid collecting unnecessary patient details to measure how often an FAQ was answered.

Keep the information useful after launch

Assign someone to review service descriptions, contact routes, fees and hours when the practice changes them. Correct outdated pages and refresh the assistant's indexed information as part of that update.

If patients keep asking the same unanswered question, decide whether the clinic can publish the answer or whether it needs a clearer staff route. Adding more model instructions cannot supply a fact the practice has never approved.

Choose a setup that fits your practice

The standalone Niwa plugin can work on an existing WordPress site. Niwa Business includes a custom WordPress website or migration, hosting, maintenance and AI adaptation for USD 150, with billing terms in the proposal.

Discuss the questions your clinic wants Niwa to answer. Bring current service pages and the contact process reception uses for exceptions.
