How to Let Clients Choose a Stylist Online
Set up stylist selection around eligible services and real availability. Explain team choices and test that the client's selected stylist is saved correctly.
To let clients choose a stylist online, assign each bookable service to the people who provide it and show availability for the selected person. Keep that selection attached to the appointment through confirmation. A preferred stylist should not quietly change because another team member has an opening.
Niwa uses the salon's service and staff information to explain the choices, check a preferred stylist's availability and record the client's appointment. Clients can make that choice on your website or directly in a WhatsApp conversation.
Map services to the people who perform them
Start with a service-to-stylist list. Record who provides each haircut, colour service and consultation. Include exceptions, such as a stylist who offers consultations but does not accept new colour clients through online booking.
Use the same team names on the website and booking page. A profile labelled with a nickname and a calendar labelled with an unfamiliar full name can leave a client unsure they have chosen the right person.
Keep specialties factual. Describe the work each person offers without presenting unverified awards or implying that every member performs every service. If you publish portfolio images, make it clear whose work they show.
Set the selected stylist's real hours
Availability needs to account for that person's working hours, breaks, leave and existing appointments. Salon opening hours alone do not describe every stylist's schedule.
For example, a salon may open at 9 while one stylist starts at 11. A 90-minute service also needs a continuous opening that fits before the end of the shift. These are scheduling examples, not suggested hours or timings for your team.
Check the Niwa booking setup against the salon's actual roster. Where another system holds appointments, use its supported availability and selection process. Do not infer staff scheduling from the public opening-hours page.
Explain what choosing a person means
Let clients understand whether they are selecting a specific stylist or choosing any eligible person. Those are different commitments.
If your booking system supports a no-preference option, describe how it works and test its assignment. For comparison, Fresha documents separate rules for bookings without a staff preference. That does not establish the same assignment features in Niwa or every other scheduler.
When a client deliberately selects someone, carry that choice into the final review and saved appointment. If the person cannot perform the requested service, offer an eligible alternative or a consultation route. Do not hide the mismatch until the client arrives.
Help new clients decide without choosing for them
A returning client may know exactly whom they want. A new client might ask who handles short cuts or whether their usual stylist offers a particular colour service.
Niwa can answer from the team and service information you supply. The answer should explain a relevant specialty or service assignment, rather than declare one person better than another.
An illustrative reply could be: "Maya and Lea both provide the Restyle service. Maya's profile includes short cuts, while Lea's page explains her colour consultation work. Which stylist would you prefer? I can check their available appointments."
Use that form only with accurate profiles. A stylist's suitability for complex work may need a consultation, especially when the client's hair history changes the treatment.
Handle an unavailable preferred stylist clearly
If the client wants a particular person and no suitable appointment is available, show the choices honestly. They can check another day, consider an eligible colleague or contact the salon about their request.
The assistant should not describe an unavailable time as reserved. On WhatsApp, Niwa can answer the service question, check the preferred stylist's times and save the appointment the client chooses in the conversation.
Keep any manual exception in the same appointment system. A staff member agreeing a different arrangement must inspect the diary and save the appointment before confirming it. Sending another name in a chat is not a substitute for changing the appointment record.
Test the choice from beginning to end
Make a test booking for each important service assignment. Verify that only eligible stylists appear, available times fit the service and the selected person appears in the saved record and confirmation.
Also test a stylist on leave and a client selecting a different date. Check that the choice does not reset unnoticed when the date changes. If your system offers a no-preference option, inspect the resulting assignment separately.
Review failures in that order: service assignment, working hours, occupied time, then the displayed selection. Adding more explanatory text cannot repair an incorrect schedule.
