How to Add Online Booking to a Physical Therapy Website
Add physical therapy booking with an existing scheduler or Niwa. Set appointment types, therapist availability and a booking route patients can use.
Add online booking to your physical therapy website by installing the Niwa AI plugin on WordPress, adding your bookable services and therapist schedules, and connecting the website booking flow. Patients can ask practical questions, see available appointments and reserve a time. Your practice supplies the visit types, durations and working hours; clinical questions stay with your team.
Set up the website flow in three steps:
- Install Niwa AI, connect a supported AI account and provide the practice's current service information.
- Add bookable services and their durations, assign therapists, and configure working hours and breaks.
- Put the booking route on the relevant service pages, complete a test booking and check the saved appointment and confirmation separately.
Use the schedule reception actually manages. Two independent schedules can offer the same therapist's time twice. A website that looks finished but writes appointments somewhere staff never check is not ready for patients.
Decide which system owns the appointment
Ask your reception team where they expect to find a new booking. If that is your existing practice-management system, check its public booking options first. Cliniko supports online booking through a link or an embedded booking interface. Other systems have their own options and restrictions.
A link takes the patient to the scheduler's booking page. An embed displays that interface within your site. Test the actual provider's implementation on a phone before choosing between them. The surrounding website should still explain the service, location and contact route.
For a practice using Niwa's local appointment records, configure the schedule in Niwa and make the connected website booking flow the reservation route. An integration with another clinical diary is a separate implementation question. Do not assume that connecting a Google Calendar also connects your patient records or billing system.
Define the services patients can book
Write down the appointment types you intend to offer online. For each one, confirm its name, duration, published fee if applicable, eligible therapists and any administrative booking instructions.
An initial assessment and a follow-up should have separate descriptions when they are different services. A returning patient should not need to guess whether a short follow-up is available to someone visiting for the first time. If staff must arrange a particular service, show the contact route instead of making it appear instantly bookable.
Use the practice's own visit lengths. A 60-minute first assessment and a 30-minute follow-up are possible examples, not standards for every clinic. Explain any preparation or referral instructions your team has approved. Clinical eligibility questions belong with the team.
Configure therapists and real availability
Assign each bookable service to the therapists who provide it. Enter working hours, breaks and the time needed between visits. Check whether the selected service fits the whole available interval, rather than looking only at its start time.
For example, a therapist working until 6 pm cannot accept a 60-minute visit at 5:30 pm simply because the diary looks empty then. A shorter service may fit that interval. The booking configuration should represent that difference.
Niwa's booking documentation describes service durations, team schedules and appointment records. Google Calendar is optional. If you use an external calendar, test which busy times are read and whether the expected appointment appears after booking. An account connection alone does not prove synchronization.
Put the booking route beside the service information
Add a clearly named booking link or the supported booking interface to the relevant service page. Keep location, visit type and staff contact information close enough that patients can resolve a practical question before choosing a time.
Niwa can help here without making the visitor search through several pages. A patient asks, "How long is the first appointment?" The assistant answers from your published information and directs them to the website booking flow. The patient chooses the service, an available therapist where offered, and a time, then submits the required contact details.
WhatsApp can also support a connected booking conversation. Niwa explains the practice's services, works with the configured availability and helps the patient complete the supported reservation through the conversation. The physical therapy AI booking overview explains that broader journey.
Test the record, not just the button
Use a designated test appointment and check the complete process before inviting patients to use it:
- Open the service page on a phone and follow its booking route.
- Select the correct appointment type and, where available, a therapist.
- Confirm that the offered time fits the service and working hours.
- Submit test contact details through the expected form.
- Find the saved appointment in the diary staff will use.
- Check the confirmation message separately and remove the test booking through the normal administrative process.
Try an unavailable time as well. The site should not report a successful reservation when the slot has already been taken. Check required-field errors and make sure the patient can correct them without restarting unnecessarily. The W3C forms guidance covers labels, instructions and understandable feedback.
If no times appear, review the selected service, assigned therapist, duration, breaks and busy calendar intervals before changing the whole site. If a confirmation fails to arrive, inspect the saved appointment first. Do not create another reservation merely to resend a message.
Add Niwa to the website you have
Existing WordPress practices can install the standalone Niwa AI plugin and configure it around their services. A new website is not required simply to add the assistant. For a new site or migration, Niwa Business costs USD 150 and includes a custom WordPress website or migration, hosting, maintenance and AI adaptation.
When discussing implementation, share the current website, scheduler name, appointment types and number of therapists. That makes it possible to decide whether you need a simple booking link, Niwa's local schedule or a separately scoped integration.
