How to Stop an AI Support Bot from Giving Incorrect Instructions
Diagnose wrong SaaS support instructions by checking the failed conversation, source, version and permissions. Correct the cause and retest Niwa answers.
Reduce incorrect support instructions by preserving the failed answer, identifying the source and context behind it, correcting the cause and retesting the task. A prompt alone cannot guarantee that an AI bot never makes a mistake. With Niwa, check the product guidance on your WordPress site, the knowledge index and the business instructions used for the answer, then test both the corrected case and nearby variations.
Begin with the actual customer problem. If the assistant tells a basic user to perform an administrator-only step, the issue may be missing role context, an incomplete guide or retrieval of the wrong source. Each requires a different repair.
Preserve the failure before changing anything
Save the customer's question, the answer, relevant conversation context and the time of the failure. Remove private details from examples shared for review. Record the product version, role and channel when those facts are available, without converting guesses into confirmed facts.
Ask what the customer observed. "The button was not visible" provides a different diagnostic clue from "the action returned an error." Keep those observations with the steps already attempted so your team can reproduce the problem.
If the suggested action could affect account access, data or billing, pause that action route while investigating. Offer the actual support contact instead. Do not ask the customer to repeat a consequential operation merely to see whether the assistant's advice works a second time.
Compare the instruction with the current guide
Read the relevant maintained source. Does it contain the wrong instruction, omit a prerequisite or describe an older interface? If it does, repair the guide first. The assistant following an inaccurate document is not a problem you can fix by asking it to sound more certain.
For the illustrative administrator-only step, the guide should state who may perform the action and what another user should do. If the task depends on a private account's permissions, public documentation cannot establish the customer's actual authority.
The Niwa support overview describes the boundary between product answers and account operations. Keep that boundary in your correction. Do not add a workaround that quietly grants the assistant or visitor broader powers.
Check which source reached the answer
A correct guide is useful only if the assistant finds it. Review your index state and inspect retrieval for the failed question. The Niwa setup handbook describes Main Settings, indexing progress and the Test Query/Run Demo route.
Look for conflicting pages, stale copies and tasks that share a name but differ by version or role. Make the source context explicit. Retire outdated instructions or identify exactly when they still apply. Rebuild or refresh the site's knowledge through the supported setup, then verify the corrected source appears.
If retrieval finds the right guide but the answer omits a prerequisite, examine how the guide presents that prerequisite and which context the conversation supplies. The repair may be clearer source structure or a clarifying question. Adding many similar pages can make source selection harder rather than better.
Rewrite unsupported advice as a useful next step
When the guide does not explain an error, give the assistant a way to acknowledge the missing answer and direct the customer to your team. Ask for the observed error and attempted step, not an invented diagnosis.
Do not turn generic advice into product-specific instructions without verification. "Try recreating the workspace" could be destructive and may have no documented relationship to the problem. Your support team should establish the recovery process before it becomes an automated answer.
Intercom's Fin FAQ acknowledges that an AI answer can occasionally be incorrect and points to maintained support content as part of improving it. This is a reason to inspect sources and outcomes.
Keep permissions outside the wording of a prompt
Instructions such as "only act when authorized" are useful guidance, but the connected application must enforce the actual access rules. A visitor's conversation should not acquire the owner's WordPress privileges or another customer's account data.
For any supported action route, check the exact task, identity, resource and resulting state. A missing permission should cause an appropriate refusal or human step. It should not produce an instruction for evading the application control.
Owner email assistance has a different actor and authority. Niwa can help the owner prepare a reply through the connected mailbox; the owner reviews the recipient and content before sending. Retain that review when the answer concerns a problem still under investigation.
Retest the original failure and related cases
Use a controlled account and the same question that exposed the problem. Confirm the corrected answer includes the relevant prerequisite and points to the right procedure. Then vary the role, version, wording and language. Include a customer saying the first step still does not work.
Check the human route as part of the test. A more cautious answer that leaves the customer stranded is not a complete correction. Record the source used, response, next step and observed outcome for each case.
Freshworks' response-evaluation documentation illustrates reviewing responses and answer sources together. Your own regression set should preserve the failures your customers actually encounter, rather than consist only of easy questions the assistant already answers well.
Keep the correction from drifting after a release
Assign a documentation owner and retain the regression cases. When the product changes, review the affected instructions and knowledge refresh before letting the old answer continue. If an error recurs, compare the current source and configuration with the version that passed.
Track incorrect instructions separately from unanswered questions. An honest handoff can be the correct result for an unsupported task; a confidently wrong instruction cannot. Use review findings to narrow or expand the supported task scope.
The standalone Niwa plugin can run on your existing WordPress site. Niwa Business is USD 150 and includes a custom WordPress website or migration, hosting, maintenance and AI tools adapted to the business. Supported own-subscription connections have no added Niwa AI usage fees or Niwa-imposed usage caps; provider terms and limits still apply, with separate API charges possible.
Contact Niwa about a failed support example with a redacted conversation, the intended source and the expected outcome. Ask about the setup and maintenance scope, including billing terms. Use the original failure as the acceptance case for any correction.
