How to Add Paid Consultation Booking to Your Website

Use a configured Calendly event with Stripe to collect payment during booking, then check the appointment, transaction and customer confirmation separately.

Add paid consultation booking with a scheduler that requires payment during its reservation flow, then place that flow on your website. A concrete option for WordPress is Calendly connected to Stripe. Configure the session, price and availability, and verify both the appointment and successful transaction before treating it as a paid booking.

Niwa can explain your consultation and complete appointment bookings directly on your website or in WhatsApp. For the paid setup described here, Calendly and Stripe handle the reservation and payment together. Give Niwa that event's checkout destination so the client follows your chosen paid booking process.

Define the consultation you are selling

Describe the advice the client will receive, its duration, location and preparation requirements. A paid website review should explain which pages you will examine and whether written recommendations are included. A sales conversation to assess a possible project is a different service.

Choose a price and currency appropriate to your offer. Explain payment, rescheduling and cancellation terms before checkout. Make clear whether the fee covers advice only or contributes to later project work; any credit toward a project needs a policy you actually offer.

Avoid selling an undefined promise to solve every problem within a short session. A clear deliverable helps the client select the right appointment and gives you a practical basis for preparing it.

Check the accounts and costs first

You need a Calendly account with access to Stripe payment collection and a supported Stripe account. Check current plan eligibility, processor availability in your country and applicable fees before choosing this route. Website hosting and the scheduler subscription are separate costs.

Calendly's Stripe integration documentation requires a live Stripe connection for real payments. Connect your own account through the integration controls. Use the correct host account for the event you are configuring.

Check how you need to present taxes and receipts for your business. Calendly's payment integration does not calculate or collect VAT or sales tax for you. Obtain advice for your actual jurisdiction where needed; connecting a processor does not settle those obligations.

Configure one paid event type

Create the consultation event with the intended duration, meeting location and availability. Connect the calendars that should prevent conflicts, and leave preparation time around the appointment if your working process requires it.

In the event editor, open More options and the Payment section. Enable "Require payment to book this meeting", select Stripe, and enter the amount and currency. Add the payment and cancellation terms, save the event and review the public booking page.

Check that this event, specifically, requires payment. Connecting Stripe to an account does not make every event paid. Keep any introductory meeting as a separate event so the client does not accidentally purchase advice while trying to ask about a project.

Put the booking flow on the WordPress page

Create a consultation page explaining the service, price and preparation. In Calendly, obtain the website embed for the specific event. For a self-hosted WordPress page, add a Custom HTML block, paste that provided embed and preview the page. The official WordPress embedding guide covers the platform differences.

A direct booking link is a useful alternative when your WordPress.com plan or site configuration does not support the embed. Keep that link available if the widget fails to load. Test the phone layout rather than assuming an embedded calendar will fit every screen.

Do not paste account credentials or secret keys into the page. The public event link or embed is the client-facing destination; payment account access stays in the provider's authenticated setup.

Verify the reservation and payment together

Walk through the appointment from a visitor's point of view. Check service, time zone, available slot, amount and currency before completing any authorized test payment. Follow the provider's current testing guidance for this integration; do not assume Stripe test cards work in a flow documented to use live mode.

After completion, inspect these outcomes separately:

  • The intended event appears with the correct attendee and time.
  • The linked Stripe transaction shows a successful payment for the correct amount and currency.
  • The customer confirmation contains the attendance details they need.
  • Your calendar reflects the booking without conflicting with another commitment.

Use the event's payment details to match the transaction, rather than relying on similar names in two dashboards. Calendly documents incomplete or uncaptured temporary records when a person opens payment but does not finish booking. A processor record alone therefore needs its actual status checked.

Test cancellation and interruption handling

Try the route without completing checkout. Confirm that you do not treat the visitor as a paid client merely because a time was selected. Establish who reviews uncertain records when a browser closes during payment.

Write down how you will reschedule, cancel and refund. Calendly does not process refunds automatically for the account holder. Use your processor's refund controls and check the resulting status; Stripe's refund documentation explains that refunds can be pending or fail. Cancelling the appointment and refunding the payment are separate actions.

If you disconnect Stripe, check the event immediately. Calendly documents that previously paid event types stop requiring payment after disconnection. That is a reason to review the booking route after account changes.

Let Niwa help clients choose the right session

Give the Niwa service assistant the approved consultation description, price and Calendly event destination. It can answer preparation and scope questions in WhatsApp using your website's business context. For this Calendly/Stripe setup, share the event checkout so the client reserves a time and pays through the configured flow.

Niwa's own booking tools can complete appointments directly in website and WhatsApp conversations. Use one booking system for this paid service, and check its linked payment status before confirming that the consultation is paid.

Discuss your consultation setup with Niwa. Include the service, current scheduler and payment provider. The useful outcome is a tested path from service question to a recorded, paid appointment, with a clear procedure for changes.
