How to Train an AI Support Assistant on Product Documentation
Prepare product guides for Niwa, index the right WordPress content and test retrieval, versions, roles and missing answers before expanding SaaS support.
Train an AI support assistant on product documentation by preparing maintained guides, making the correct sources available to it and testing whether it uses them for real customer questions. With Niwa, start from the product information on your WordPress website, configure your business guidance and build the site knowledge index. In this setup, "training" usually means supplying retrievable knowledge and instructions, rather than retraining the underlying AI model.
Your first test should be a task a customer can complete, such as importing a contact file. An assistant that finds the right page but misses a required permission has not yet learned enough to guide that customer reliably.
Audit the guides that customers actually need
Read a sample of recent support requests and identify the guides needed to answer them. Begin with a small set of current tasks instead of adding every old page at once. For each guide, record its owner, applicable product version, relevant roles and last review date.
Check for contradictions. A release announcement may mention an old limit while the current help page describes a newer one. Decide which information applies and update or clearly retire the older instruction. Do not leave the assistant to guess which page your team would choose.
This knowledge work supports the broader Niwa SaaS support workflow. It is a preparation task in its own right: changing the source can improve website answers and the replies an owner prepares from the same product information.
Write one guide around an observable task
For an illustrative contact-import guide, include the role allowed to import, the accepted file requirements, the product's actual steps, the expected result and known failure cases. Use the field names and limits from your application. Do not insert a generic file-size limit simply because another product uses it.
Put prerequisites before the procedure. Explain what a customer should check when the upload is rejected and what details support needs if the documented fix fails. A short failure section can prevent the assistant from repeating the same import steps after the customer has already tried them.
Keep factual instructions separate from internal staff commentary. Public product guidance should not contain credentials, another customer's records or privileged procedures that website visitors must not receive. An index needs deliberate source selection as well as enough content.
Configure the Niwa connection and site index
Install and activate the standalone Niwa AI plugin on the WordPress site holding your support content. Follow the Niwa setup handbook for the licence and a supported AI connection.
In WordPress, open Niwa AI's Main Settings. Save the authentication settings before choosing the available chat model. The handbook documents "Run Full Index + Embeddings" for rebuilding site knowledge, with Indexed, Embedded and Pending counters for progress. Check errors and pending work rather than assuming that pressing the button completed the rebuild.
The handbook also describes a Test Query and Run Demo retrieval check. Use a real question about the import guide and inspect the returned evidence. Then ask through the customer chat so you check both source retrieval and the actual answer. Do not expose API keys in screenshots or test transcripts.
Check retrieval before rewriting instructions
When an answer is wrong, first ask whether the relevant guide was available and retrieved. A correct document that never reaches the answer needs a different repair from an incorrect document that the assistant follows faithfully.
Test short questions, ordinary customer wording and questions that omit a prerequisite. A customer may say "my list will not upload" rather than use the name of your import feature. The assistant should clarify the task and use its meaning, not depend on a language-specific trigger phrase.
If your documentation covers several versions, make the differences explicit. When a version changes the procedure, test whether the assistant asks for that context. A product-version label is structured information; a customer's choice of English or Serbian words should not determine which procedure they receive.
Establish what happens when knowledge is missing
The assistant needs a response for questions the guides cannot answer. Configure a human-contact route and explain the information your team needs. For the import example, useful details might be the observed error and which step failed, without requesting the customer's entire private contact list.
Treat a suggestion as a suggestion. If the source does not document how to recover from a particular error, do not instruct the assistant to present an invented recovery sequence as approved product guidance.
Intercom's Fin FAQ describes answers based on configured content and acknowledges that AI can still make mistakes. The practical lesson is to test the answer and the missing-answer route, rather than relying on the quantity of imported content.
Turn support discoveries into reviewed documentation
A useful conversation can reveal an omitted prerequisite or confusing product label. Record that discovery, have the responsible person review it and update the maintained guide. Rebuild or refresh your Niwa knowledge as appropriate, then retest the original question.
Do not assume every conversation permanently trains your assistant. Crisp's explanation of conversational data distinguishes current conversation context from learning a knowledge base. Check the behavior of your own product rather than treating these as the same mechanism.
Keep the test case with the guide. A later product release should trigger a check of the procedure, the retrieved source and the expected answer. Give a named person responsibility for that maintenance so a formerly correct instruction does not become a persistent support problem.
Review the finished knowledge route
Before expanding, check a normal import, a missing role, a changed interface, an unsupported file and a customer saying the first answer failed. Include representative customer languages. Preserve the expected sources and answers in your test notes, then examine differences manually.
Niwa can also help the owner prepare email replies from this information after the support mailbox is connected. Review those messages and count them as assisted support when a person approves them. A correct guide-based reply does not prove an external helpdesk ticket was closed.
Existing WordPress owners can use the standalone plugin. Niwa Business is USD 150 and includes a custom WordPress website or migration, hosting, maintenance and AI tools adapted to the business. Supported own-subscription connections have no added Niwa AI usage fees or Niwa-imposed usage caps on that connection; provider limits still apply, and API use may have separate charges.
Contact Niwa about your product knowledge setup with your website, a representative guide and a redacted question it should answer. Ask for the setup and maintenance scope, including billing terms, and use that question as the first retrieval acceptance test.
