Send a WhatsApp appointment confirmation after the booking system has saved the reservation. Niwa can book the appointment directly in the WhatsApp conversation and confirm the service, time and booking reference there. For additional outbound confirmations, collect the customer’s phone number and configure the sending workflow. Test the saved appointment and the message the customer receives as separate parts of the same process.

A confirmation should tell someone exactly what they have booked. Its timing matters: a conversation about a possible appointment is too early to announce that the slot is reserved.

Start with the saved appointment

With the Niwa WhatsApp agent, the customer can ask about services, choose an available appointment and confirm the reservation in chat. The agent uses your website’s business context and connected booking actions to carry out that request.

The booking agent provides the appointment record that the confirmation refers to. Its service, team member, date, time, timezone and booking reference give the customer a way to recognize the reservation later. Niwa’s confirmation in the conversation should reflect that saved record.

This is useful even when the enquiry started elsewhere. A website booking can still receive a WhatsApp confirmation if the required customer details and sending setup are available.

Configure any additional outbound confirmation

A direct WhatsApp booking has its confirmation in the conversation. You may also want outbound notifications for appointments made through another channel, including your website. Open WordPress and go to Niwa AI → Lead Capture → Scheduler. The Niwa help guide explains the scheduler controls, including customer fields and confirmation channels.

  1. Enable frontend scheduling and configure the service and staff availability.
  2. Enable collection of the phone number used for the confirmation.
  3. Select WhatsApp confirmation in the scheduler settings.
  4. Configure and verify the WhatsApp sending connection used for scheduler notifications.
  5. Save the settings and make a test reservation using a phone number you control.

Check the configured sending service for any additional outbound notification. The customer agent’s reply and a separately sent confirmation have different delivery paths, so verify the one your workflow uses.

If you also collect an email address, you can configure email confirmation as another channel. Check each selected channel independently before relying on it for customer communication.

Give the customer enough detail

The confirmation should identify the appointment without requiring the customer to open a second conversation to work out its meaning. Include the service, appointment date, start time and timezone, the assigned team member where relevant, and a booking reference.

Location and preparation instructions can follow when they are useful and supported by your actual service information. Avoid including unnecessary personal information in the message.

An illustrative message might read:

Your project consultation is booked for 14 October at 10:00, Europe/Belgrade, with Mila. Booking reference: EXAMPLE-123. Please bring your current floor plan. Message us if you need help changing the appointment.

The example is copy guidance, not a screenshot of Niwa’s default notification. Use the fields and customization options supported by your configured workflow.

Check delivery separately from booking

A saved appointment and a delivered message are different facts. If the customer does not receive the confirmation, inspect the booking record first. Creating another reservation to force a message can produce a duplicate appointment.

What you observe What to check
Appointment saved, no WhatsApp message Phone number, selected confirmation channel and sending connection
Message contains unexpected details Saved service, team member, timezone and appointment time
Email arrives but WhatsApp does not The WhatsApp sending path independently of email
Customer reports two confirmations Appointment references and whether two reservations were created

For a provider-based WhatsApp Business Platform setup, use its delivery reporting. Twilio’s status documentation distinguishes outbound message states. A delivered or read message does not establish that the customer will attend.

Respect the sending route you use

WhatsApp Business Platform messaging has rules for conversations and approved templates. Twilio’s WhatsApp concepts guide explains the customer service window and template-based outbound messages. Those requirements matter when that is your sending route.

Keep provider setup separate from Niwa’s scheduler switch. Turning on confirmation selects a notification channel; it cannot repair an unavailable connection or make an unsupported outbound message valid.

Test the complete customer journey

Start with a WhatsApp question, choose an available time in the conversation and confirm the reservation. Read the appointment back in Niwa, then compare it with the confirmation in chat and any additional message your workflow sends. Check a missing phone number and an unavailable outbound connection as well, so staff know how to handle a saved booking whose follow-up message did not arrive.

The WhatsApp booking setup guide covers the earlier conversation and reservation steps. If you already have WordPress, the standalone Niwa AI plugin can be used on that site.

Ask Niwa about booking confirmations with your current booking flow and WhatsApp setup. That makes it possible to check the notification route your customers will actually use.
