How to Let Customers Choose a Service on WhatsApp
Help customers choose and book a service directly on WhatsApp with Niwa. Use website context, service duration and staff availability in the conversation.
Let customers choose a service on WhatsApp by giving Niwa your website’s service descriptions and connecting the agent to your booking workflow. Niwa explains the options, clarifies what the customer needs and checks times for the selected service. The customer can choose an available appointment and complete the reservation in the conversation. Use the configured service record for its duration and eligible staff so the booking matches what was discussed.
The task is to make a useful choice easy. A long list of internal service names rarely answers the customer’s underlying question.
Describe services in terms customers understand
For each appointment type, record its purpose, duration, preparation requirements and any price information customers need before booking. Explain what distinguishes it from similar services.
An initial consultation might be for a new project, while a review session is for an existing customer. State that difference directly. A customer should be able to understand why one is appropriate without knowing your internal terminology.
Use the same underlying services in Niwa’s business information and the website scheduler. The Niwa booking agent connects each bookable service to its duration and assigned team members. Updating a description alone should not silently change the appointment length.
Configure the actual booking options
The Niwa scheduler guide documents service name, duration, description and assigned team members. Configure those fields and save the scheduler before accepting customer bookings.
Assign only people who can provide that service. A service available from three staff members may have more bookable times than one delivered by a single specialist.
Include preparation or cleanup time in the schedule. A 45-minute appointment with a 15-minute buffer uses a different amount of staff capacity from a 45-minute appointment with no buffer.
Connect those services to the WhatsApp customer booking workflow. You can also keep a website booking button for customers who prefer a form, using Niwa’s documented website controls. It is another entry route to booking, rather than a required step in the WhatsApp conversation.
Help the customer decide before offering times
Give the WhatsApp AI agent enough information to explain the options. A good answer responds to the person’s request and asks for clarification when necessary.
For example, a customer who says “I need help with my website” may need a setup consultation, a maintenance appointment or support for an existing installation. The assistant can ask whether this concerns a new site or an existing one before recommending the relevant service.
This should work through meaning and business context. Do not design the choice around a command such as typing one specific English word. Customers may describe the same service differently or use another language.
Carry the selected service into the reservation
Once the customer understands the service, check its available appointments and ask which time they prefer. Confirm the choice and collect the details needed to save the reservation.
Customer: I need help planning a new shop. Which appointment should I choose?
Niwa: The initial planning consultation is for a new project and lasts 45 minutes. Would you like me to check available appointments for it?
Customer: Yes, next Thursday afternoon if possible.
Niwa: There is a 14:00 appointment next Thursday, Europe/Belgrade. Shall we use that time? I will need your booking contact details before saving it.
This is an illustrative conversation. Use your actual service, timezone and connected availability. After the customer supplies the required details and confirms, save the appointment and return its confirmation.
The saved appointment should identify the same service the customer selected, with its actual duration and assigned staff member. A recommendation helps someone decide; the booking confirmation follows the completed reservation.
Avoid unnecessary menus
If your business has only two services, a short explanation may be enough. If it has many, group the options in a way customers recognize and let the assistant ask a focused question.
If a structured form suits your service list, WhatsApp Flows provides interactive selection components with a separately configured backend integration. Niwa’s intelligent conversation can also clarify the choice naturally and continue into connected booking. Choose the interface that fits your customers’ questions.
The practical test is whether customers understand what to book and whether that service is carried accurately into the saved reservation, without starting the explanation again.
Test similar requests, not just one phrase
Try a direct service request, a description of a problem, a request for the wrong appointment and a question in a customer language. Check that Niwa explains the options accurately and can continue the conversation into a booking for the right service.
Verify the duration, eligible staff and availability for each service in the connected booking system. Complete a test on WhatsApp and check that selecting one service does not reserve another with a similar name.
For the complete setup sequence, use the WhatsApp appointment booking guide. Keep detailed calendar configuration separate from the service-choice conversation.
Configure service selection with Niwa. Send your service list and the distinctions customers usually ask about so the assistant and website booking options can use consistent information.
