To connect WhatsApp booking to Google Calendar with Niwa, configure your services and staff schedule, authorize the intended Google accounts and connect that availability to the WhatsApp booking workflow. Niwa can offer times and save the appointment the customer confirms directly in the conversation. Check both the saved Niwa appointment and its calendar connection: reading busy time and writing a new calendar event are separate jobs, and the setup needs to handle the ones your business relies on.

The WhatsApp customer agent uses the same business services and scheduling rules as your connected booking system. Google Calendar supplies or receives the calendar information you have configured, while the customer can complete the reservation in WhatsApp.

Decide which calendar does which job

Write down two requirements before connecting an account:

  • Which staff calendars contain commitments that must make a person unavailable?
  • Which calendar should display appointments made in WhatsApp or on your website?

A manager’s overview calendar and a staff member’s personal work calendar may serve different purposes. Connecting the manager’s account alone is not a substitute for checking each appointment provider’s busy time.

Niwa’s booking configuration supports local services and team schedules independently of Google. Its member connections can add the relevant person’s Google busy periods to availability. Keep those member connections distinct from the administrator calendar used for the business overview.

Configure the local booking rules first

In Niwa, define the service duration, assigned team members, working hours, breaks and days off. Add time between appointments when the work needs preparation or cleanup.

Check that the local schedule produces sensible availability before adding an external calendar. That isolates mistakes in the booking rules from problems in the connection.

The Niwa booking setup supplies the services and reservation rules. Connect it to the WhatsApp agent so service questions can continue into time selection and a saved reservation in the conversation.

Connect the correct Google accounts

Follow Niwa’s documented scheduler connection process:

  1. Save the team member’s name and email before sending a calendar connection invitation.
  2. Review and complete the calendar data controls required for the selected provider.
  3. Use the member connection link for the person’s own calendar authorization.
  4. Connect the administrator calendar separately when you need the business calendar view or sync.
  5. Review the connected account and calendar before accepting the setup as finished.

Use an account authorized to access the relevant calendar. A successful sign-in to the wrong account can still produce an incorrect schedule.

Keep the business timezone consistent across Niwa and the connected calendars. For online appointments serving customers elsewhere, make the displayed appointment timezone clear.

Test busy-time protection and event creation separately

Put an ordinary work commitment in the staff member’s connected Google calendar. Ask Niwa on WhatsApp for appointments during that period and check that it does not offer the overlapping time for that person.

Then make an authorized test reservation in the WhatsApp conversation and read the Niwa appointment back. Check the intended external calendar for the corresponding appointment and compare the start, end, staff assignment and timezone.

Google documents free/busy queries separately from event creation. A calendar event appearing proves the write path; it does not prove that busy periods were checked before booking.

When a connected calendar cannot be read, investigate that connection before assuming the unavailable slots are a scheduling mistake. Do not remove busy-time protection merely to offer more appointment choices.

Example: two calendars, two responsibilities

A consultancy has an owner overview calendar and a consultant’s work calendar. The consultant has a meeting from 10:00 to 11:00. Their connected member calendar should prevent a new consultation during that period.

A customer asks about the consultation on WhatsApp. Niwa explains the service and offers available times. The customer chooses 14:00, supplies the required details and confirms the appointment in the conversation. Niwa saves the reservation, and the configured sync displays it in the intended calendar.

If the appointment is absent from Google, check the saved Niwa record and connection state before creating it again. A synchronization problem does not mean the original reservation failed.

Troubleshoot without creating duplicates

Symptom First check
Busy time is still offered The specific staff member’s calendar connection and which calendar holds the commitment
A saved appointment is missing from Google Niwa’s appointment record, authorization and sync state
The time appears shifted Business timezone, calendar timezone and the recorded start time
All staff are blocked together Whether the same shared busy calendar was connected to several members

Recheck a booking after correcting its connection. Keep the existing appointment ID so the repair does not become a second reservation.

Plan your Niwa calendar connection. Share the staff calendars that should affect availability and the calendar where you want new appointments to appear.
