How to Send Appointment Reminders on WhatsApp
Set up Niwa's automatic WhatsApp appointment reminders. Choose the timing, connect the customer channel and check message activity against the saved booking.
Niwa automatically sends appointment reminders through a connected WhatsApp channel. Enable booking, connect your business number and choose the reminder timing in Customer relationships > Workflow settings. Each reminder uses the saved appointment details, with a final check that the booking is still current before sending.
A customer can book directly in a Niwa WhatsApp conversation and receive the booking confirmation there. The reminder arrives later. It does not ask them to confirm attendance again, and their reservation remains confirmed unless they cancel it.
Connect booking and the customer channel
Configure your services, staff availability and business timezone through the Niwa booking setup. A reminder needs a saved appointment linked to a customer record with usable contact details.
In WordPress:
- Open Niwa AI > Customer relationships.
- Select Workflow settings.
- Check that Booking and WhatsApp show as connected.
- Select Automatically remind every booked customer.
- Set Hours before the appointment, then select Save workflows.
A saved phone number alone is not a sending connection. If email is connected too, Niwa can also send a reminder on that channel.
Keep customer contact details accurate and respect their communication preferences. Niwa skips proactive messages for paused customer profiles and contacts whose consent has been withdrawn.
Choose a reminder time that suits the service
The default is 24 hours before the appointment. Consider how much preparation the customer needs and how much notice your team needs for a change. A consultation requiring documents may need an earlier reminder than a short appointment nearby.
For a booking made after its usual reminder time, Niwa schedules the reminder two hours before the appointment, or halfway to the appointment when fewer than four hours remain. For example, a booking made one hour before its start has a reminder due about 30 minutes later.
Check the business timezone before relying on that schedule. The delivery time also depends on scheduled processing and the connected messaging service.
Include the details the customer needs
The reminder should identify the service, date, time and timezone. Add location or preparation instructions when they apply to that appointment. Niwa uses your business instructions and the customer’s language or conversation context to prepare the message.
For example:
Your project consultation is on 14 October at 10:00 Europe/Belgrade. Please bring your current floor plan. If you need to cancel, message this number with the appointment details.
Use the actual booking details in customer messages. Niwa’s reminder also includes a private customer access link, which should be shared only with that customer.
Check changes before sending
Niwa checks the appointment again before a reminder goes out. If the booking moves, a reminder for the old time is skipped. A cancelled reservation is no longer eligible for its booking reminder.
| Situation | What your team should check |
|---|---|
| The customer cancels | The intended appointment is saved as cancelled |
| The appointment moves | The current start time and timezone are correct |
| Contact details change | The saved customer destination is current |
| The connection is unavailable | Message activity shows whether the reminder is waiting or needs attention |
Read the existing appointment and its message activity before retrying a message. Creating another booking would make the schedule harder to reconcile.
Verify delivery and scheduled processing
Open the customer record to review Message activity and the Customer journal. Workflow settings also show recent workflow activity. A queued message is waiting for processing. Check the delivery receipt and any reported error to establish what happened to the reminder.
For WhatsApp Cloud messages outside the reply window, an approved template is required. Niwa can prepare localized workflow templates, or you can select existing approved templates in the workflow settings.
WordPress scheduled tasks normally run through page loads. A low-traffic site may need a server scheduler to process reminders reliably. Check an actual reminder’s send time rather than assuming the configured interval proves punctual delivery.
Before using reminders with customers, test on a number you control. Include a normal booking, a short-notice booking, a cancellation, a moved appointment and a disconnected channel. Compare the saved reservation with the message receipt. A read receipt does not establish attendance.
Set up booking reminders with Niwa. Describe your services, preferred reminder timing and existing WhatsApp connection so the setup reflects how your team works.
