Can Customers Cancel Appointments Through WhatsApp?

Customers can cancel their own upcoming Niwa appointments in a private WhatsApp conversation. Check identity, resolve the booking and confirm the saved change.

Yes. Niwa lets an identified customer cancel their own upcoming appointment in a private WhatsApp conversation. With booking enabled, it finds the intended reservation and saves its cancelled status before confirming the change. The customer can complete this process in the conversation.

A policy question or an unclear message needs clarification first. If the customer has several appointments, Niwa must establish which one they want to cancel.

Explain the cancellation route when booking

The Niwa WhatsApp agent uses your business context to help customers choose services and complete connected appointment actions. Tell customers which private business number to contact for changes, and make your cancellation policy available before they book.

Explain any notice periods, deposits or fees accurately. Cancelling an appointment does not automatically refund a payment or waive a fee. Handle those outcomes through your business’s payment process.

Include the service, date, time and booking reference in the original confirmation so the customer can recognize the reservation later.

Establish the customer’s identity

Niwa checks the private channel identity against the saved customer record. On WhatsApp, a unique match between the sender’s full phone number and the booking contact can identify the customer. A display name or a phone number typed into a message is not proof of ownership.

If the account cannot be matched, staff can verify and associate the private channel identity or provide the customer’s private access link. Share that link only with its intended customer. Resolve appointment changes in a private conversation, where another customer’s booking details will not be exposed.

Identify the intended appointment

Niwa reads the appointments available to the identified customer and resolves the reservation they mean. If two bookings could match, it should ask the customer to choose before making a change.

Customers can write naturally in their language. They do not need a special cancellation command. Niwa interprets the current message in context, distinguishing a cancellation request from a question about policy or a discussion of an earlier appointment.

For example:

Customer: Please cancel my consultation on 14 October at 10:00.

Niwa: Your consultation on 14 October at 10:00 Europe/Belgrade has been cancelled. The change is saved against booking reference EXAMPLE-123.

That confirmation should follow the saved change and use the actual appointment details.

Confirm the saved cancellation

Customer cancellation applies to upcoming appointments with a pending or confirmed status. Niwa checks the current booking details before changing the record and records the cancellation in the customer journal.

If the change cannot be saved, the reply should explain what remains unresolved. Your team can then inspect the intended appointment instead of treating an acknowledgement as a completed cancellation.

Booking changes also enter the connected calendar workflow. Check the Niwa record and any external calendar separately, especially when investigating a synchronization delay.

What happens to reminders and the freed time?

Niwa’s automatic reminder workflow checks the current appointment status before sending. A cancelled reservation is no longer eligible for its booking reminder. If a customer does not reply to a reminder, their reservation stays confirmed.

When same-day vacancy offers are enabled, a cancellation can start a search for suitable future customers to offer the earlier time. A customer’s existing appointment stays in place until they accept the offer. The cancelling customer does not choose who receives the freed time or see other customers’ records.

Use staff handling when help is needed

An authorized team member can also cancel a reservation in Contacts & Calendar:

  1. Open the intended appointment and verify the customer, service and time.
  2. Set Status to Cancelled.
  3. Select Save details.
  4. Reopen the appointment to check its saved status.

The editor’s Cancel/Close control closes the dialog. To cancel the reservation, use the status field and save the change.

Staff handling is useful when identity needs resolution or the request is unclear. Acknowledge an unprocessed request as received, then confirm once the intended booking has changed.

Before using the workflow with customers, test a clear cancellation, two appointments for one customer, an unmatched identity and a policy question that should leave the booking unchanged. Check the saved status, the customer reply and any connected calendar outcome. The WhatsApp booking setup guide explains the original reservation path.

Configure appointment changes with Niwa using your services, cancellation policy and connected calendars.
