How to Keep Property Prices Updated in an AI Chatbot
Choose one authoritative price source, verify how updates reach Niwa and test changed, withdrawn and deleted listings before the chatbot answers buyers.
Keep property prices updated in an AI chatbot by choosing one maintained source for each listing, establishing how changes reach the assistant and checking the answer after an update. Niwa can use the property information made readable to it, but the update route depends on your website and listing system. Do not assume that editing a listing also updates a separate feed, cached page or assistant index immediately.
The practical test is simple: after your team changes a price, a buyer asking about that property should receive the approved current amount and currency, or a clear route to the agent while the information is being checked.
Choose the record that owns the price
Identify where your team makes the official change. It may be a WordPress listing record, an agency database or a licensed property feed. Use its stable property reference to connect the record with the public page and the information Niwa receives.
For each listing, include the amount, currency, sale or rental basis and status. A rental price also needs its period. Do not make the assistant choose between an old brochure, a social post and a new listing field without a defined source priority.
If you maintain the same price in several places, document who updates each one. Reducing duplicate entry is often more useful than adding another reminder to the assistant.
Trace the update route to the answer
Write down the actual sequence: the source changes, the website or feed refreshes, any cache is refreshed, the assistant's accessible information updates and a new conversation reads it. Some setups use indexed website content; others may read a connected record. Verify which one your installation uses.
Niwa's setup guide documents site indexing and its controls. If your property answers depend on that index, confirm the refresh procedure after listing edits. If you use an external connection, inspect its update schedule and failure reporting with the person responsible for it.
Agree an acceptable delay for your agency, then measure it in a test. "Updated automatically" is incomplete unless you know when the changed fact becomes available to buyers.
Keep price, status and removed records consistent
Changing the asking price is only one event. A property may become reserved, sold, withdrawn or disappear from a feed. The assistant should use the status definitions relevant to your agency and stop offering an unavailable home as an active option.
RESO's data guidance describes modification timestamps for replication and warns that removed records can require audits against the source. Where your feed follows that standard, check how your connection handles those updates. A record vanishing from a feed is not always the same as receiving an explicit deletion message.
Test a price change from end to end
Use a controlled test record. Record its reference, old price, new approved price and the time you saved the change. Check the maintained source, then the public property page. Ask Niwa for the price in a fresh website conversation and, if configured, through WhatsApp.
Check the currency and rental period as well as the number. Repeat after the scheduled refresh or the documented manual refresh. Save the results so you can see which stage caused any delay.
For a live listing, avoid publishing a false price merely to test the system. Use staging, a private test record or an actual authorised price change. The test should not mislead buyers while it measures the update route.
Define what happens when prices disagree
If the source and public page show different amounts, resolve the data conflict before allowing the assistant to confidently quote one. Check the listing reference, field mapping, feed timestamp and cache state. Repeating the buyer's question cannot repair a stale source.
Configure a team route for an unresolved discrepancy. The buyer can receive the listing link and an explanation that the agency needs to confirm the asking price. Do not claim that an asking price is binding or that the assistant can negotiate a change on the seller's behalf.
When the issue is fixed, test the answer again using the same reference. Keep a small record of recurring failures so the source process improves.
Make freshness part of routine listing maintenance
Assign responsibility for the refresh and its checks. Review failed connections, withdrawn properties and any fields buyers repeatedly ask about. If a price appears in a PDF or old campaign page, update or remove that copy so it does not continue to conflict with the maintained listing.
Test representative changes after modifying the property system or assistant configuration. The Niwa real estate workflow uses those facts when answering questions, gathering requirements and booking a viewing in the customer conversation. A current price matters at each of those steps.
Existing WordPress owners can use the standalone plugin. Niwa Business is USD 150 for a custom WordPress website or migration, hosting, maintenance and AI adaptation. Share your listing update process to agree a data route and a price-change test that your team can maintain.
