How to Handle Multiple Staff Calendars in WhatsApp Booking
Book appointments for several staff members directly on WhatsApp with Niwa. Assign services, set individual hours and check connected calendars.
Handle multiple staff calendars by assigning each service to the people who can deliver it, configuring their individual working hours and connecting the intended external calendars. Niwa uses those rules to offer available times and record the appointment the customer confirms directly on WhatsApp. Service duration, staff eligibility and calendar commitments determine which reservations can be accepted.
The task is to model your actual team. An appointment that fits the business’s opening hours may still conflict with the staff member who needs to deliver it.
Map services to eligible staff
List the services you accept online and the team members who can perform each one. Set the duration and any time needed between appointments. If only one person handles an initial assessment, assigning the service to everyone would offer availability your business cannot fulfill.
The Niwa booking agent uses the scheduler’s service and team configuration. Keep those assignments current when someone joins, changes responsibilities or stops delivering a service.
For example, a consultancy might offer planning consultations with two advisers and technical reviews with only one. Customers asking about these services on WhatsApp can receive an explanation, choose the relevant service and book an available appointment with an eligible adviser in the same conversation.
Configure each person’s schedule
In WordPress, open Niwa AI → Lead Capture → Scheduler. Add each team member with the correct name and email, then save the member before sending a calendar connection invitation. The Niwa help guide documents these controls.
Configure individual weekdays, working hours, breaks and holiday exclusions. A member who works mornings should not inherit an assumption that every employee is available until the business closes.
Check service duration against those hours. A 60-minute appointment needs a complete available hour, including the configured spacing rules. A visible gap on a calendar is not necessarily an appointment slot.
Connect the correct member calendar
Use the calendar connection link for the member’s own authorization. Verify whose account is connected and whether its busy periods affect that member’s offered appointments.
Keep the administrator’s calendar role clear. An overview calendar and a staff member’s personal availability answer different questions. Connecting one central account does not by itself prove that every member’s commitments are included.
Google provides separate operations for querying busy periods and creating events. Test both behaviors where your configuration relies on them. Seeing a new event in an overview calendar does not establish that the scheduler checked another person’s busy time.
Let the customer start with the service
The WhatsApp AI agent uses your website’s business context to explain who provides a service and continue into booking. If the customer asks for a particular person, use that preference when checking appointments with eligible staff.
The saved appointment must reflect the selected service and assigned staff member. Check availability through the connected booking workflow, then record the customer’s confirmed choice. A person’s name mentioned during a question is not an assignment by itself.
Service descriptions can help customers who do not know your team. Explain what the appointment is for before expecting someone to choose an internal staff label.
Test conflicts member by member
Use test appointments to check the configuration deliberately.
| Test | Expected behavior to verify |
|---|---|
| Busy event on one member’s connected calendar | That member’s affected appointment time is unavailable |
| Another eligible member is free at the same time | Their valid availability can still be offered |
| Two customers try the same member’s remaining slot | The saved reservations do not overlap |
| Staff holiday covers the selected day | That member is unavailable for the excluded period |
| Service assigned to one specialist | Other team members cannot provide that service through booking |
Read the saved appointment back and check the assigned member as well as its start time. Two appointments at 10:00 can be valid when different staff members deliver them; two overlapping appointments for one member are a different situation.
Account for shared resources separately
Staff availability is only one constraint. If two employees share one consultation room or piece of equipment, a free person does not necessarily mean the appointment can go ahead.
Do not assume that staff calendar support supplies a shared-resource capacity system. Assess those constraints with your actual booking setup, and use a supported configuration or separate process that prevents impossible reservations.
Check connection health as part of operations. A missing or unavailable external calendar should be investigated before relying on the availability offered in the conversation. Follow the documented calendar data controls when granting or pausing access.
Launch with a small, verified team configuration
Run a complete WhatsApp booking for each service and eligible member. Ask for times, confirm a reservation in the conversation, verify the saved record and compare it with the calendar behavior your team expects. The booking setup guide covers the initial configuration.
Existing WordPress sites can use the standalone Niwa AI plugin. Discuss team scheduling with Niwa and include your service assignments, staff hours, calendar accounts and shared-resource constraints so the configuration can be checked against real appointments.
