How Long Should I Keep AI Chat Conversations?

There is no universal chat retention period. Set a schedule by purpose, separate linked records and account for provider storage, exports and backups.

Keep identifiable AI chat conversations only as long as you can justify for their purpose and applicable obligations. EU GDPR does not give every website a universal 30-day or one-year chatbot retention period. A routine enquiry, an unresolved complaint and an appointment record may need different treatment.

If you use Niwa for website customer assistance, decide what you need from a conversation after the customer's task is complete. The main transcript, any resulting booking or support record and the selected AI provider's storage are separate parts of that decision.

Choose a purpose before choosing a number

GDPR Article 5(1)(e) sets the storage-limitation principle. Personal data should not remain identifiable longer than necessary for the purposes of processing, subject to the law's defined provisions for certain longer-term uses.

Start with a practical question: what will your team do with this transcript tomorrow, next month and after the matter is resolved? If the answer is only "we might find it useful someday," the business has not yet defined a retention purpose.

The ICO's storage-limitation guidance explains the equivalent UK principle and the need to justify periods, review records and remove or anonymise data when it is no longer needed. Use the guidance in its jurisdictional context.

Separate transcripts from records created during chat

A customer may ask a question and then place an order. Keeping the accounting information required for that order does not necessarily require retaining every message that preceded it.

Consider separate record categories:

  • Routine service questions that are resolved without an ongoing case.
  • Active complaints or support cases with a documented review or closure point.
  • Contact requests awaiting a response.
  • Booking and order records governed by their own purpose and obligations.
  • Security or incident records with a separately justified need.
  • Evidence of marketing permission and suppression choices.

For each category, specify when the clock starts. "After the last meaningful activity" is different from "after creation," and a vague rule can leave old records permanently open. Also decide what happens when a conversation is linked to an active complaint.

Use a reviewable schedule, not an arbitrary default

Imagine a fictional shop deciding to review closed routine enquiries 30 days after resolution. That number is a business example, not a legal recommendation. The shop would need to justify it against its support process, minimise the records and ensure that actual deletion or anonymisation follows the approved policy.

If a dispute requires longer retention, document the specific reason, relevant records and review date. Do not keep all unrelated transcripts because one complaint exists. Local accounting, healthcare or limitation requirements may affect particular records and need separate assessment.

Assign someone to review the schedule when the customer journey changes. Adding WhatsApp, a booking service or a CRM can create copies that the previous policy never covered.

Check the provider's retention separately

Deleting a WordPress transcript does not establish that a supplier has deleted every copy. Conversely, a provider's short retention policy does not delete the transcript stored on your own hosting.

OpenAI's API data-control documentation distinguishes abuse-monitoring logs from application state and explains endpoint-specific behaviour. Anthropic's commercial retention guidance also distinguishes API handling from stored conversations, with exceptions and additional requirements for some models.

Record the terms for your actual connection. Check whether the feature creates persistent state, whether feedback changes data handling and which deletion controls are available. A "not used for training" policy is not a retention schedule.

Include backups, exports and messages to your team

Your data inventory should cover database backups, downloaded transcripts, support emails and connected systems. A scheduled deletion in one location can leave another copy in a spreadsheet or inbox.

Explain how backups expire and how you prevent deleted data from returning to routine use after a restore. Give exported records an owner and a defined disposal process. Review whether your team needs full transcripts or only the small amount of information necessary for the next task.

Check whether your setup deletes conversations automatically or requires a manual process. Test any automatic controls with fictional records. For manual deletion, assign someone to carry it out and record how completion is checked.

Keep useful learning without retaining identities unnecessarily

Recurring questions can help improve product descriptions and service pages. Often you can record the question category or write a new FAQ without storing the person's original identifiable message.

True anonymisation needs to prevent identification using reasonably available means. Removing a name while preserving an order reference or distinctive personal details may only pseudonymise the record. Personal data rules can still apply.

Review the Niwa safety information and the actual records in your installation. Then write your privacy notice around the periods or criteria you can defend and carry out.

Discuss your retention requirements with Niwa when planning the assistant. Existing WordPress owners can use the standalone plugin; Niwa Business is USD 150 for website creation or migration, hosting, maintenance and AI adaptation. Bring the record categories and schedule so the technical process can be assessed against them.
