A WhatsApp AI assistant answers customer messages using your business information and the conversation so far. With Niwa, a customer can ask about your products or services, get help choosing and continue into connected booking and sales workflows through WhatsApp.

Niwa runs on WordPress and serves customers on your website and WhatsApp. You can install the standalone Niwa AI plugin on an existing WordPress site, or choose Niwa Business if you also need a website, migration and hosting.

Discuss your WhatsApp workflow with Niwa. Include your website address and an example of a conversation you want it to handle.

Answer product questions while the customer is deciding

A customer asks which of two shoes is easier to clean. The answer depends on their materials and care instructions, so a saved greeting will not help much.

Niwa uses your business information to explain the difference and point the customer to the relevant products. With a connected WooCommerce catalog, its customer tools can look up products and variations. A follow-up question can narrow the choice, such as whether the customer needs a particular size or material.

That gives the conversation a useful next step: a product the customer understands and a link where they can buy it. Your published delivery and returns policies also give Niwa information for the questions that often come before a purchase.

Keep those details current. If a fact is missing, the assistant should refer the question to your team rather than invent an answer.

Turn a service enquiry into an appointment

A customer asking about a service may also want to know when they can come in. Niwa can explain the service in WhatsApp, check the configured availability and help the customer book an appointment in the conversation.

Niwa's booking workflow uses your services, appointment durations, team schedules and existing appointments to offer available times. The customer chooses a suitable slot and provides the required details. A completed booking becomes an appointment record with the service, attendee and time; the confirmation should follow that successful record.

For example, a salon can explain what an appointment includes in WhatsApp, offer suitable availability and help the customer reserve a time for that service. Configure the working hours and timezone first so the booking reflects the schedule your team actually uses.

Connect your WhatsApp account to Niwa

Niwa's WhatsApp Web setup pairs your account with a QR code. The installation guide covers the connection and access settings.

  1. Install and activate Niwa AI on WordPress, connect your supported AI account and prepare the business information it needs.
  2. Open Niwa AI → Personal Assistant → Setup & Access → WhatsApp Web and enable the connection.
  3. Select Connect WhatsApp, then scan Niwa's QR code through Linked devices in WhatsApp on your phone.
  4. Configure customer access under Leads and test a conversation from a customer number. Keep owner and staff permissions separate.

The receiving WhatsApp account and the people allowed to use Niwa have different roles. Customers need product and service assistance; your private owner account has access to business administration.

Give your team a clear place in the conversation

Set the assistant's business rules around the information you can reliably provide. Product descriptions, service details, delivery policies and contact information are a useful starting point.

Tell Niwa when to refer a request to a person and how the customer can reach them. An unusual refund, a complaint or a custom quote may need your team's judgment. Make that contact route clear in the conversation.

Review replies in the languages your customers use. Test product names, prices and follow-up questions, including a conversation where the customer changes language. The answer needs to preserve the business facts as well as sound natural.

Choose the setup that fits your website

If you already have a WordPress website, the standalone Niwa AI plugin lets you add the assistant to it. A new website is not required. You will need access to WordPress and accurate business information for the assistant to use.

Niwa Business is USD 150 and includes a custom WordPress website or migration, hosting, maintenance and AI tools adapted to your business. Contact Niwa for the proposal and billing details.

You can use your own supported AI subscription with no extra Niwa AI usage charges or Niwa-imposed usage limits on that connection. Your provider's account eligibility and usage limits still apply. An API connection is another option, with its own provider billing.

Is AI useful if you already have quick replies?

Quick replies let your team reuse saved messages. They can be enough when most questions need the same short answer.

An AI assistant is useful when the answer depends on the product, service or earlier messages. A customer can describe what they need in their own words, ask for clarification and continue into the configured purchase or booking workflow. Your business information gives Niwa the context for that conversation.

Bring one real customer conversation to the setup discussion

Choose a recurring enquiry you would like Niwa to handle, such as comparing two products or asking about a service and appointment time. Include the information your team uses to answer it and the point where a person should take over.

Talk to Niwa about your WhatsApp assistant. Send your website URL, the languages you serve and that example conversation so the discussion starts with your business's actual needs.
